The email-vs-SMS debate has a boring resolution: they’re different tools with different physics, and good follow-up systems use both on purpose. The interesting part is knowing which physics apply when.
The physics
SMS: open rates near-universal, most reads within minutes, replies feel natural — and intrusion tolerance is low. A text interrupts; earn it. Email: opens are a coin flip on a good day, but it carries what texts can’t — detail, formatting, attachments, quotes — and nobody resents receiving one.
The channel rules we build by
Use SMS when timing is the point: instant reply to a new inquiry (the five-minute window is a texting window), appointment confirmations and day-of reminders, "tech is on the way," review requests an hour after the job, and short quote nudges ("any questions on the estimate?"). One or two sentences, your name attached, easy to answer.
Use email when substance is the point: the quote itself, before/after documentation, seasonal newsletters with genuine tips, warranty and maintenance records, and the long-cycle nurture that keeps you familiar between needs.
Sequences interleave them
A quote follow-up that works: text at day 0 (delivery confirmation), email at day 2 (quote re-attached with financing details), text at day 7 (short check-in), email at day 14 (relevant project example), monthly texts thereafter. Each channel does its job; neither is asked to do the other’s. Same pattern for reactivating old customers — email warms, text closes.
The compliance line (respect it or lose the channel)
Texting has rules — consent, business hours, instant opt-out honoring (TCPA isn’t a suggestion). Beyond legality, over-texting burns the most valuable channel you have: a customer who opts out of SMS is gone from your fastest lane forever. The discipline: every text should be something the recipient is glad arrived.
The real problem isn’t the channel
